不同情景下,怎樣寫(xiě)email?

回復(fù)郵件

及時(shí)回復(fù)郵件是一種商務(wù)禮儀。那些遲遲不回復(fù)郵件的人,人們對(duì)其信任感會(huì)逐漸降低,一種把事情交給他心里就不踏實(shí)的感覺(jué)會(huì)油然而生。

即便你沒(méi)時(shí)間仔細(xì)地回復(fù)對(duì)方的郵件,簡(jiǎn)單地寫(xiě)一句 - I'm working on it. 或者 - Noted, thanks. 都是有必要的。

對(duì)于你不能辦到的事,就回復(fù) - I'm afraid that... 或者 - Unfortunately, we are unable to...

在你的回郵中提及對(duì)方的郵件,會(huì)給對(duì)方一種思路清晰、辦事仔細(xì)的印象。你可以這樣寫(xiě) - With reference to your e-mail of March 28...;

當(dāng)對(duì)方發(fā)郵件詢問(wèn)你公司的產(chǎn)品或服務(wù),你最好能在回復(fù)時(shí)向其表達(dá)謝意 - Thank you for your inquiry of May 10 and for your interest in our products.

有時(shí)候,人們?cè)陔娫捴醒灾忚彽氖虑椋晦D(zhuǎn)頭就發(fā)生變化。為了避免對(duì)方忘記電話中的約定,最好馬上給他發(fā)一封郵件,書(shū)面明確雙方達(dá)成的意向。

表達(dá)友好

Email是一種與對(duì)方建立關(guān)系并且展現(xiàn)你職業(yè)形象的溝通工具。 Email寫(xiě)得過(guò)于短促,會(huì)給人生硬冷漠的感覺(jué)。

在結(jié)束語(yǔ)上寫(xiě)- If you require more information, we would be happy to... 或者 - Should you have any question, please contact me freely。這些句子能夠反應(yīng)出你對(duì)對(duì)方的友好態(tài)度和你的職業(yè)素養(yǎng)。

說(shuō)明意圖

開(kāi)門見(jiàn)山地告訴對(duì)方你發(fā)這封email的用意,可以讓他迅速地理解你的郵件內(nèi)容,并盡快做出回應(yīng)。
你可以這樣寫(xiě)- I am just writing to... 或者 - Just a short e-mail to request / confirm / inform you that / ask if / clarify...

表達(dá)歉意

當(dāng)意識(shí)到自己的失誤時(shí),及時(shí)誠(chéng)懇地道歉可以避免事態(tài)進(jìn)一步惡化,最大限度地減少損失并挽救你的職業(yè)形象。

你可以這樣寫(xiě) - We must apologize for (not).../- We deeply regret... 或者 - I do apologize for any inconvenience caused. 或者 - I am really sorry for/about...

傳達(dá)喜訊

把好消息通知對(duì)方時(shí),有四種常見(jiàn)的寫(xiě)法:
1.We are delighted to confirm that...
2.We are pleased to inform you that...
3.You will be pleased to hear that...
4.I'm happy to...
第一種給人居高臨下的感覺(jué),第二種是中性語(yǔ)氣,第三種對(duì)方看起來(lái)親切舒服,第四種行文比較隨意。

請(qǐng)求回復(fù)

當(dāng)你希望得到對(duì)方的答復(fù)時(shí),用委婉禮貌的語(yǔ)氣寫(xiě)郵件比用直接強(qiáng)勢(shì)的語(yǔ)氣好。

比如,- Would you please confirm...?和- Please contact me at your earliest convenience. 比- Please reply without delay. 和- Please let us know as soon as possible. 更讓人容易接受。

請(qǐng)求幫助

當(dāng)你請(qǐng)求對(duì)方做某事時(shí)要注意三點(diǎn):
1.語(yǔ)氣委婉、態(tài)度懇切;
2.把你的期望表達(dá)清楚;
3.給對(duì)方預(yù)留足夠的準(zhǔn)備時(shí)間。

郵件中常用的句子有:

  • We would appreciate it if you could...
  • I'd be grateful if you could... -Could you please...?
  • Would it be possible for you to...?

索取信息

當(dāng)你寫(xiě)郵件向?qū)Ψ剿魅⌒畔r(shí),可以用這些起始句:

  • I am writing to inquire about...
  • I read/heard... and would like to know...
  • Could you please send me... at the address below/above.

當(dāng)你要的東西比較簡(jiǎn)單,可以直接寫(xiě)Would you send me...

如果要的信息比較復(fù)雜,就要在郵件上放一個(gè)問(wèn)題清單,讓對(duì)方逐一回答?;蛘咴卩]件中附上一個(gè)表格讓對(duì)方填寫(xiě)。主動(dòng)引導(dǎo)對(duì)方以你需要的方式提供信息,總比讓他們天馬行空地回復(fù)你好。

結(jié)束語(yǔ)要首尾呼應(yīng),表達(dá)謝意:

表達(dá)謝意

表達(dá)謝意時(shí),常用的句型:

  • We would like to express our sincere thanks for ...
  • We'd like to thank you for...
  • Thank you once again for your help.

有誠(chéng)意的道謝是告訴對(duì)方你對(duì)什么事情表示感謝。隨意的道謝是Thanks!一個(gè)詞。無(wú)誠(chéng)意的道謝是Tkx,就一個(gè)縮寫(xiě)。

附件提示

一封郵件的正文只說(shuō)一件事,并且要盡量簡(jiǎn)明扼要,節(jié)省對(duì)方閱讀的時(shí)間。假如一件事比較復(fù)雜,比如參與方很多、步驟很多時(shí),就要把你要傳達(dá)的信息做成表格或者PPT放在附件中。

不要忘記在正文處提醒收件人看附件。你可以這樣寫(xiě)

  • Please find attached/enclosed...
  • I'm attaching.../I've attached...

郵件結(jié)尾

常用的結(jié)尾句

  • Do not hesitate to contact us again at (86)XXXX if you require further assistance.
  • If you have any further questions, please contact me by e-mail.
  • Let me know if you need any more help.
  • I look forward to meeting your next week.
